1. Who we are and our role
T-Filer CMS is operated by Sajeyks Labs ("we", "us"). Law firms use it to keep client and case information, so we take confidentiality seriously. For the matters, parties, documents and calendar entries a firm puts into the Service, the firm decides why and how the information is used, and we handle it on the firm's behalf to provide the Service. For account and sign-in information, we decide how it is used. We follow the Kenya Data Protection Act, 2019.
2. What we collect
About people who use the Service
- Your first and last name, email address, username and password (stored as a one-way hash), or your Google account identifier if you sign in with Google.
- Your firm, your role in it, and when you joined, changed role or left.
- Sign-in records: when you signed in, and failed attempts, with the site you used.
What a firm puts in
- Matters: titles, file numbers, notes, tags, clients and opposing parties, and who handles the matter.
- Calendar entries: hearings, deadlines and reminders, who handles them, and whether they are done.
- Documents uploaded or prepared in the Service.
The activity record
Who created, edited, assigned, uploaded, opened, downloaded or removed something, and changes to firm membership, each with the person's name and the time. Names are copied into the record so it stays readable after a person or matter is removed. Entries cannot be edited or deleted and are kept for as long as the firm has an account.
Technical information
IP address, browser type and pages visited, used for security and to keep the Service working.
3. How we use it
- To run the Service: matters, calendar, documents, assignments and reminders.
- To send emails you need: invitations, password resets and changes, and calendar reminders for dates you handle.
- To keep the firm accountable: the activity record shown to owners, admins and, for matter activity, colleagues who can open the matter.
- To secure the Service and prevent abuse, and to meet legal obligations.
We do not sell personal information and we do not use a firm's matters or documents for advertising.
4. Who can see what
Firms are separate from each other: one firm cannot see another's matters. Inside a firm, members can open the firm's matters, owners and admins can also manage people and see the firm-wide activity record, and only owners see the record of people and ownership changes. People are always shown by their names.
5. Service providers
- Contabo hosts our servers. It supplies the infrastructure and does not use the content of our systems for its own purposes.
- Google, if you sign in with Google, or if you connect Google Calendar: then dates you handle are copied to your own calendar, and removed when you disconnect or stop handling them. If you use scanned-document tools, Google Cloud Vision reads the text in the pages you submit.
- Our email provider sends the emails described above.
We disclose information when the law requires it, or to protect the Service and its users. If our business is transferred, this policy continues to apply to the information.
6. Keeping information
- A firm's matters, calendar entries and documents are kept while the firm has an account, or until the firm deletes them.
- The activity record is kept for as long as the firm has an account.
- When a firm's account is closed, its information is deleted unless we must keep some of it by law.
7. Security
Connections use HTTPS. Passwords are hashed. Connected Google tokens are stored encrypted. Sign-ins on this site are separate from our other sites. No system is perfectly secure, so please use a strong password and remove people from your firm when they leave.
8. Your rights
You can ask to see, correct or delete your personal information, object to certain uses, and complain to the Office of the Data Protection Commissioner of Kenya. For information in a firm's matters, we may refer your request to the firm, which decides what it holds and why.
9. Cookies
We use only the cookies the Service needs: one to keep you signed in, one to protect forms against forgery, and preferences such as theme. They are set for this site alone. We may measure usage in aggregate.
10. Children
The Service is for legal professionals and is not for children.
11. Changes
We will post changes here and, for material ones, try to tell firm owners in advance.
12. Contact
